PDF Pro 4 Usability
In this section I will be sharing my own experiences with this latest version of Ashampoo PDF Pro 4. This begins by downloading and installing the software on my own device before moving on to perform a mixture of real-world PDF editing, creation and conversion tasks to gain a good overview of the tool.

Installing PDF Pro 4

Once the installer is running, one of the first things asked is to provide a valid licence key or to provide Ashampoo account details to register for the fully functional 30-day free trial (If you don’t yet have an Ashampoo account then one can be registered for free). With the licencing page complete, the installation is mostly automatic thereafter, taking only a few moments in my own experience to have the full application installed and ready to use.

Modifying and Editing PDFs
One of the key reasons for using PDF editing software is, of course, to directly edit and modify the contents of existing PDF documents. This is a function of good PDF editing software which is especially useful if you don’t have the original documents (e.g. in Microsoft Word format) from which the PDF was originally produced to make changes.
NB – Whenever creating PDF documents for yourself, always try to keep a copy of the original document containing the content used within the PDF. It is often easier and more accurate to simply edit the original document and then re-create the PDF than to reply on editing the PDF itself.
Starting with the default “welcome” document which is loaded into PDF Pro 4 when first starting is a great place to test out some of the many editing features and tools available. This begins with what is likely one of the most commonly used tools, the text tool, which can be used for adding new text or simply editing any existing text already found within the document.
As can be seen above, simply clicking onto any existing text within the current PDF document will allow me to edit it in the same fashion as I would in any other word processor. Furthermore, using the Text tool found on the toolbar, I can also add a text field (text box) which can be used to create a new block of text by simply clicking and dragging it on the page.
Once the text area to modify has been selected, many of the other text editing tools available within PDF Pro 4 become available for use as they might be seen in any other word processing software. As can be seen above, I can simply add or append any text I might require in the PDF document and then format this new text as is required.
NB – One of the biggest advantages of PDF editing software is not only adding new text to a document, but the ability to edit any existing text already contained within the PDF (a task made quick and simple thanks to software such as PDF Pro 4).
Additionally, whenever working with text within a PDF document, it is great to see that Ashampoo have included some newly upgraded spell-checking functionality which is built directly in to the editor itself. As can be seen below, this spell-checking functionality can be activated via the “Review” toolbar and is highly configurable including, amongst other things, being able to set the language being used.
Moving on and, as you might have noticed in the screenshot above, Ashampoo have now added a brand-new tabs bar into PDF Pro 4 which makes working across multiple PDF files much easier than in previous versions. The software still supports working with multiple PDF files across multiple different windows if this is preferred, and whilst tabs are now used by default, the option to open PDFs in a new window can be found in the file menu when opening up a new document.
Moving further on from the editing and modifying of text and the new tab bar interface (as was mentioned just above) and there several other key features available within PDF Pro 4 for continuing to edit a PDF document, these include:
- Adding images (from external image files)
- Inserting “PDF Objects” (the content part from another PDF file)
- Adding watermarks
- Adding form fields (for building PDF forms)
- Adding annotations (notes, stamps & signatures)
- Inserting shapes (including freehand drawing of shapes / lines etc.)
Starting off with what is most likely a very popular feature, the ability to embed images from external image files directly into the PDF document being worked on. This process begins by opening up the PDF document to be edited and then selecting the “Image” option from the “Insert” toolbar as can be seen below.
With the image file which is to be inserted selected, PDF Pro 4 will import the contents of this image file directly into the current PDF document. From this point onwards the image can then be manipulated further including changing its size, re-positioning it within the document as well as applying more advanced photo editing such as adding borders or altering the opacity of the image should such work be required.
Another potentially useful feature found within PDF Pro 4 is that of the watermarking tool. Such watermarks can, for example, be a small logo in the corner of every page or a block of faint identifiable text (e.g. a domain name) added to the background of each page in the document.
As can be seen above, adding a watermark to a PDF document is as simple as selecting the watermarking tool (via the insert menu), selecting an image file (PDF, JPEG etc.) which will act as the watermark itself, choosing the size (optionally filling the entire page) and then choosing which pages to apply the mark to. By default, watermarks will start in the middle of the page which is fine when using a large watermark to fill the entire page however, should you want to move the watermark (for example to have a small opaque logo in the corner of each page) then the watermark can be “unlocked” by right clicking on it, moving it to the correct position and then re-locking it again.
With the main PDF editing functions including the adding of text, images and watermarks to a document now covered, there is just one further tool found within the “Inset” menu that I am going to look at before moving on with this review – this is the annotations tool. As can be seen in the full view of the “Insert” toolbar below, annotations aside, there are still a lot of other tools and features available within PDF Pro 4.
Finally, the annotations tool (mentioned above) is a really interesting and useful tool for anyone who works with PDF documents on a professional level. From the annotations section of the menu, there are various options available for easily marking a PDF document with one of a collection of pre-set markings, markings which can be very useful in helping to highlight and record the status of a document (for example, we could easily mark a job sheet as complete or an invoice as paid etc.).
Other annotations available include a “signature” (which works from a nominated image file) and a “note” annotation which allows for a text-based note to be appended to the document. PDF Pro 4 also supports adding in custom shapes (notes) as annotations which includes, amongst other shapes, the circle annotation as can be seen below.
With most things relating to the editing of PDF documents now covered, I believe it is fair to say that PDF Pro 4 so far is doing an excellent job given how easy it is to use and the great value it offers compared to more established PDF software providers. In the next section I will be looking more at working with PDF files themselves and the functionality available for inserting, removing, extracting and merging of PDF pages.
Converting PDF Documents
Whilst this latest edition of PDF Pro 4 does provide a high degree of direct PDF editing functionality without the need to change a documents format, it also provides options for changing the format of a PDF document into one of several popular choices when such an option is preferred. Some of the most commonly used PDF conversion options supported by PDF Pro 4 include:
- MS Word (DOC / DOCX)
- Rich Text Format (RTF)
- HTML (in-line styles or with separate CSS)
- Images (JPG, TIFF, PNG)
- eBook Format (ePUB)
Whilst editing documents directly within PDF Pro 4 will be suitable and appropriate for many PDF editing use-cases, there might still be times when it is preferable to change the format of the document first (for example, to make use of the features found within a full word processing application or to integrate the content into a website as HTML etc.). In such cases a PDF document can be converted to a different format via the “Export” option which is found under the main “File” menu, this will open up the main file export settings box as can be seen below.
As is pointed out above, clicking on the “Format” button will open a new settings box allowing the format of the exported file to be specified. It is from here that any of the supported formats can be selected and (if necessary) further configurations can be made via the tabs found at the top of the settings box (e.g. setting an image size, resolution or quality in dpi).
NB – When making use of the PDF to HTML conversion, PDF Pro 4 provides options for exporting entirely to HTML within a single file or (optionally) moving any styling information into a separate CSS file which is configured to work with the exported page. This is a great feature for anyone who might want to develop the exported HTML webpage further.
When electing to export the PDF document to a Microsoft Word format (.doc or .docx) there are additional advanced settings available for handling exactly how the text, its formatting and the display of any images found within the document are handled.
In my own particular testing, I found utilising the “Preserve line breaks” and “Try to preserve layout” options (see above) helped in creating the most accurate PDF conversions into MS Word formats (although this is probably something which will vary depending upon the source PDF being converted). As can be seen below, this is my test PDF document showing in Microsoft Word after being converted from the source PDF file.
Whilst it is possible to do a lot of editing work within PDF Pro 4 itself, this wide range of export and conversion options helps to further make this a top-rated PDF tool, even if it is simply used for making accurate conversions of PDF documents into different formats for further editing else ware.
Inserting, Extracting & Merging PDFs
With the core PDF editing and document conversion options now covered, there are still a lot of changes that can be made to a PDF document both at the entire document and individual page level, these changes can include.
- Inserting individual pages into an existing PDF document from another PDF file
- exporting individual (or groups) of pages into separate PDF files
- Merging together two or more PDF files into a single PDF
- “Splitting” a PDF file (e.g. automatically creating multiple single page PDFs)
- Inserting pages directly from a document scanner
- Inserting blank pages into an existing PDF document
Starting off under the “Insert” menu (as can be seen below) and I can begin the process for adding in one or more specified pages from a separate PDF file into the PDF document currently being worked on.
Clicking on “Pages” and then on “From document” via the main toolbar menu will allow for the selection of a secondary PDF document containing the individual pages (or groups of pages) which are to be inserted into the current document. Once selected, any pages which are to be to be inserted must then be specified using the “Insert Document” box as is shown below.
With the importing of any individual pages (or groups of pages) into an existing PDF document complete, this same functionality can be extended by exporting one or more pages from this current PDF document into multiple individual PDF files. This process beings by using the “Extract” tool which is (again) found under the main “Pages” menu as can be seen below.
NB – When using the page extraction tool, it is possible to select individual pages from within the current PDF document as well as an entire range of pages (e.g. pages 3 – 6). When extracting a range of pages, it is also possible to click the “Save each page as a separate PDF” box which will (as the title implies) allow the easy extraction into multiple single-page PDF documents for each selected page.
Moving on and another commonly used feature of a good PDF editor is the merging of two or more individual PDF files into a single document. The “Document” section of the PDF Pro 4 toolbar is where the “Join” button can be found for performing such work.
As can be seen above, once the “Join” tool is open, all that is required is to select one or more PDF files (as well as other supported media items like JPEGs) which will then be merged into the current PDF document. Also be sure to note that the software supports specifying the order in which these individual pages / items are added via the “Up” and “Down” buttons seen below the file selection box (with those at the top being added into the current document first).
Moving on and another potentially useful feature which is included within PDF Pro 4 is the ability to insert blank pages into an existing PDF document.
This ability to insert blank pages is just one of many additional features relating to working with PDF documents available within PDF Pro 4. Other related options include the ability to insert pages into a document directly form a scanner, the re-ordering of pages within an existing document plus the ability to automatically split a PDF document into multiple single page PDF documents amongst various others.
Securing PDF Documents
PDF Pro 4 allows documents to be secured with (up to) highly secure AES 256-bit encryption (depending upon the exact PDF document format being used). This ability to secure the contents of a PDF document is something which can easily be applied via the “Security” settings box found under the “Document” section of the main menu.
As can be seen above, not only does PDF Pro 4 support choosing the level of encryption being applied to the document, but also allows the setting of both an “open” password (for simply reading and possibly copying / printing the document contents) alongside a “Master” password which allows full control of the document. More granular security settings can also be applied for specific PDF use cases such as the locking of a document whilst excluding form fields which can still remain editable for a non-authorised user.
NB – PDF Pro 4 provides multiple encryption options ranging from AES 40-bit through to AES 256-bit encryption. Whilst a lower strength of encryption will usually be quicker to work with, AES 256-bit encryption is generally considered highly secure and should be used whenever possible to fully protect a PDF document.
Ashampoo PDF Print Drivers
Another highly useful component found within PDF Pro 4 are the Ashampoo PDF printer drivers. These drivers help to make simple the printing of virtually any document from virtually any other desktop application into a high-quality PDF file (a PDF file representing what would have otherwise been sent to a physical printer).
As can be seen above, when making use of any other application which offers Windows printing capabilities, it is possible to simply select the “Ashampoo PDF” option from the list of available printers and the resultant document will be made into a PDF file (the drivers will ask where to save this new PDF document during the printing process).
Other PDF Tools & Features
With many of the core features of PDF Pro 4 covered, in this section I will be focusing on some of the other PDF related features and functions which help make up the final desktop application as it is installed. This begins with the OCR tool (Optical Character Recognition) which can help in identifying text inside of a PDF document which might not otherwise be automatically identified as text (e.g. text from a badly scanned or poorly photocopied document).
Moving on and another useful aspect of PDF management which is built-in to PDF Pro 4 is support for the PDF/A PDF archiving format (an ISO specified format which is ideal for long-term preservation of PDF documents). When such a format is required, any PDF document opened within PDF Pro 4 can simply be exported to this special PDF/A format using the “File – Save As” menu as can be seen below.
Also available within the PDF Pro 4 desktop software is a useful set of form building tools. This set of tools includes the form elements themselves which can simply be dragged and dropped onto a PDF document via the “Form Field” menu as well as provisions for configuring any accompanying text labels and images.
Configuration of these form elements (e.g. adding items to a combo box or choosing where the submit button will send data to) is as easy to configure as simply right clicking on any given form element itself and selecting the necessary settings in the PDF editing interface.
Finally, another feature which I like to see in almost all desktop software (and one which is often overlooked) is the ability to apply a dark theme. Thankfully, in PDF Pro 4 this can easily be switched on via the main application’s “Options” page as can be seen below.
Furthermore, this latest version brings with it two new themes over the outgoing PDF Pro 3 (these are “Colourful” and “Modern”) making the software even more visually appealing for anyone who is seeking a more customised experience.

One of the most important considerations when making use of PDF documents is the security and privacy of the content stored within them. In-turn, one of the best ways of protecting such content is by the application of strong data encryption (ideally utilising AES 256-bit encryption or higher) to the PDF file itself.
As can be seen above, PDF Pro 4 provides various encryption options with a range of strengths up to and including the very strong AES 256-bit option available (often recommended as a very secure way to protect a PDF document).
